SummaryThis position will be responsible for sourcing, contracting, and maintaining relationships with maintenance vendors in our 25 markets of operation. Leading the Vendor Relations team in obtaining a quality vendor that meets our company expectations.
Essential Duties And ResponsibilitiesThis list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.

  • Oversees all aspects of maintenance vendor sourcing.
  • Works directly with our Director of Maintenance on understanding vendor needs by market - specific to trade, emergency, regular R&M and turn/rehab.
  • Sources vendors in all our markets to ensure quick response time, lower costs, and tenant satisfaction. Help negotiate list pricing by item and/or trade.
  • Ensure vendors have signed our contract and are following all aspects of the agreement. Follow up to make sure that we have appropriate up to date licensing, insurance, and IRS information for each vendor.
  • Manages response times, tenant satisfaction and the overall productivity and efficiency of vendors.
  • Transparency with Communications on feedback, performance and overall ratings from Scorecards.
  • Works with Director of Maintenance to ensure all vendor related escalated issues are researched and resolved in a timely manner.
  • Responds to owner/tenant or vendor complaints specifically regarding maintenance vendors.
  • Assists in special projects or assignments as needed.
  • Collaborate with Centralized Services as well as local market leaders to maintain an optimal external and internal property management experience.
  • Work extensively in cloud-based management software performing accounting and other related property management tasks. Completing reconciliations, invoicing or other tasks required to maintain a good payment reputation with vendors.
    SUPERVISORY RESPONSIBILITIESThis position will supervise up to 5 staff members within the department. Responsibilities will include:
    • Assist in the hiring process to determine the scope of each role and the experience and education requirements needed to perform that role.
    • Notify supervisor and HR if Job Descriptions need to be updated due to changes in the role or technology.
    • Train and develop each staff member to perform duties at a level of meeting expectations or higher. Assign and review goals for each employee at least semi-annually.
    • Conduct Team Meetings (L10's), as appropriate for purposes of developing teamwork, recognizing, and rewarding staff and ensuring positive communication amongst team members.
    • Meet with employees in one-on-one meetings at least bi-weekly, to provide motivation, instruction, feedback, and support. Understand the aspirations of each staff member to guide them toward lateral or promotional opportunities, as applicable.
    • Monitor and address behaviors exhibited that are outside the company's culture and policies.
    • Coaching, counseling, and disciplining employees, when necessary, to ensure employees are performing at their expected levels.
    • Have an awareness of the policies of the company and department to ensure that all are abiding by such. Keep your supervisor aware of any employee concerns and consult with HR as needed for guidance and direction, as needed.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.       • Strong knowledge of computers and technology including cloud-based software and applications.

        Education and/or Experience
        • High School Diploma, GED, or 3+ years of experience in a maintenance role, management role or a related field.
