BASIC PURPOSE AND SCOPE OF POSITION: Process biweekly multi-state payroll in a timely manner and ensure the accuracy of HR/Payroll System data. Follow standard procedures to input all employee changes. Review employee time records and receive proper management authorization for payment processing. Audit data inputs for accuracy, make necessary corrections, and ensure all audit controls are met. Assist with Employee Benefit and Retirement Plan Administration. PRINCIPAL ACTIVITIES: This position does the following in accordance with all applicable Federal, State and local laws/regulations and the Companys policies, procedures and guidelines: Prepare and process bi-weekly multistate payroll, maintain and audit HRIS data, and process employee changes timely and accurately. Prepare off-cycle checks as required and ensure accuracy and prompt delivery in accordance with company policy. Ensure employee time records are accurate to avoid over/under payments and other errors. Maintain accurate entitlement balances and resolve any variances. Ensure state and local tax setup is accurate for each employee. Setups new tax withholding for new jurisdictions. Develop ad hoc system reports and analyze data to ensure HRIS data is accurate and complies with company policy. Reconcile payroll funding amounts and prepare Payroll Funding Requests each pay period to ensure timely funding of the bi-weekly payroll. Reconcile payroll hours and earnings to ensure the committed payroll is accurate. Provide payroll reports to the accounting department for bank account reconciliation and GL updating. Reconcile 401k and NQDC participant contributions, and company matching contributions each pay period. Prepare funding request to ensure timely remittance of the participant and company contributions. Resolve variances and maintain records in the third-partys recordkeeping system. Work with Internal Control department to ensure operating compliance with established audit procedures and SOX narrative as described. Respond to employee inquiries, identify potential issues, research problems, determine root cause, and take corrective actions to ensure accurate payroll and high customer satisfaction. Review and responds to regulatory agency inquiries such as tax agency report requests, third party garnishments, etc. Ensures the companys payroll processes and procedures are in compliance with all applicable regulations. Prepare required state wage reports (such Ohio WC and Washington L&I) and remit to appropriate state agencies timely. Reconcile and process monthly vendor invoices for employee benefit plans, third party vendors, and consultants, etc. Assist with administration of employee benefit plans including maintaining enrollment records, answering employee inquiries, and escalating issues for resolution. Administer employee in compliance with local, state, and federal regulations including ERISA, DOL, IRS, COBRA, HIPAA, as well as company policies & procedures relating to benefit plans. Maintain confidentiality of employee records and sensitive business information. SPECIAL PROJECTS As assigned MINIMUM QUALIFICATIONS EDUCATION, CERTIFICATIONS, AND TRAINING: College degree and at least 5 years of experience with processing and reconciling payroll including multi-state payrolls, experience with employee benefit plan administration, and experience with Ceridian Day Force preferred SKILLS AND BACKGROUND: 1. Working knowledge of payroll best practices. 2. Strong knowledge of federal and state regulations. 3. Strong work ethic and team player. 4. High degree of professionalism. 5. Ability to maintain sensitive and confidential information. 6. Strong interpersonal (verbal and written) communication skills. 7. Decision-making, problem-solving, and analytical skills. 8. Organizational, multi-tasking, and prioritizing skills 9. Customer service oriented. LANGUAGE REQUIREMENTS: Must be able to read, write and communicate in English.
